AI warehouse: stock never drops unnoticed
Set a minimum per item — the bot watches stock 24/7 and alerts you the moment an item breaks the line. Receipts, issues, stocktakes and write-offs run automatically, wired to your CRM.
Why a warehouse leaks money for no reason
A best-seller ran out overnight
No one watched the stock — the item hit zero, sales stalled, the customer went to a competitor.
Bookkeeping lives in someone's head and Excel
Receipts and issues are entered by hand and late. Nobody knows the real stock; a stocktake means a lost weekend.
Damage and expiry surface too late
Spoiled and expired goods sit on the shelf as an 'asset' until someone notices by chance. The money is long gone.
One bot — the whole warehouse under control
Built around your process: start with stock control, add modules as you need them.
Stock control and the minimum line
Each item has its own line it must not drop below. Break the minimum and you get an instant Telegram alert plus a suggested reorder quantity.
Receipts & issues
Stock movement is logged automatically from invoices and CRM — the balance is always current, with no manual entry.
Stocktakes
Physical vs system in minutes, not a whole weekend. AI highlights mismatches and points to where to look.
AI write-off
AI finds expiry and damage by dates and batches, prepares the write-off act — you just approve in one click.
Cost and quantity
Every item has a live cost and balance. See the value of your entire stock in real time.
Suppliers & reordering
Each item is tied to a supplier and lead time. The bot builds what to reorder and from whom.
Stocktaking and write-offs — without losing your weekend
The two processes that usually eat the most time and money. Here's how they work with us.
Stocktaking: actual vs recorded
You enter the physical count — from a phone, a spreadsheet or a scanner. The bot compares it with recorded stock and highlights only the discrepancies: shortages, surpluses, mis-sorts. No need to eyeball a thousand rows — you work with the twenty that have a problem.
Why it diverged — not just that it did
For each discrepancy the bot pulls the movement history: when the item last arrived, who released it, whether there were returns or transfers. It often turns out to be an unposted delivery note or two similar SKUs mixed up, not theft.
AI write-offs for damaged and expiring stock
The bot finds write-off candidates itself: items nearing expiry, damaged goods from returns, lines with no movement for months. It drafts the act with a reason and an amount and sends it for approval — you approve or reject with one tap.
Stock value in real time
See how much money is sitting on the shelves right now, how much of it is dead stock and how much is frozen in surplus. Broken down by category, supplier and shelf life — so you know where money is stuck and where it's working.
The reports you'll receive
Nothing to download — these are the real reports the bot sends to Telegram. Data is anonymized.
How it works
From request to a working system — about 2 weeks
Map the warehouse
We review your items, where stock is held, where receipts and issues come from. We decide what delivers value first.
Set the minimums
We set the minimum line per item, connect to your database/CRM and configure alert recipients.
Test on real data
We run it on your warehouse, check every scenario, calibrate alerts and write-off logic.
Launch & support
The bot runs 24/7. You get alerts and digests in Telegram. We stay available for tweaks.
How it looks in different businesses
The logic is the same, but thresholds, lead times and priorities differ. We tune it to your specifics.
Auto parts
Thousands of SKUs, similar names, frequent mis-sorts. We set thresholds by fast movers and seasonality: one set in winter, another in summer. The bot catches mixed-up SKUs and suggests equivalents when something runs short.
Food and HoReCa
Shelf life is everything. The bot tracks batches, warns N days before expiry and suggests writing off or discounting early — while the goods can still be sold rather than binned.
Building materials
Large items, long deliveries, seasonal demand. We calculate the threshold against supplier lead time: the alert arrives not when you run out, but when it's time to order so it arrives in time.
Retail and e-commerce
Stock must match what the customer sees on the site. The bot watches the gap between warehouse and storefront so you don't sell what you don't have and lose the order.
Manufacturing
Raw materials and finished goods tracked separately. The bot calculates how many production days your components will cover and warns of shortages before the line stops.
Pharmacy and cosmetics
Batches, expiry dates, strict records. The bot keeps stock by batch, tracks dates and produces write-off documents in a form that stands up to inspection.
Excel, an accounting system, and AI warehouse
We don't replace your accounting system — we cover what it lacks: attention and timeliness.
| Excel / notebook | Accounting system (ERP, 1C…) | AI warehouse | |
|---|---|---|---|
| Stock levels | Accurate as of the last entry | Accurate if everything is posted | Accurate + checked automatically |
| Running out | Noticed once it's gone | You must open and read a report | Alert arrives in Telegram by itself |
| Minimum per item | Kept in someone's head | Often exists, nobody looks | The bot watches and won't stay quiet |
| Stocktaking | A weekend in the stockroom | Manual check against a list | Only discrepancies are highlighted |
| Reason for a gap | Searched manually | History has to be dug up | The bot shows the movement at once |
| Write-offs | Forgotten until the audit | Filed manually | Candidates found automatically, act ready |
| Who has to remember | A person | A person | Nobody — it runs 24/7 |
If you already have an accounting system, great — we connect to it via API and don't break your current process.
What it works with
We connect to what you already have. No manual data migration needed.
Where it pays you back
Three areas where warehouses lose most often. We run the numbers on your data before we start.
Lost sales
A fast-moving item runs out and the customer goes to a competitor. You lose not just the sale but the customer. Even one such item a week adds up to a serious figure over a year.
Frozen cash
Surplus and dead stock is your money sitting on a shelf instead of working. The bot shows what has stalled so you can put that cash back into circulation.
People's time
Weekend stocktakes, manual checks, hunting for where things went — hours you pay for. The bot takes the routine; people handle sales and receiving.
Who it suits — and who it doesn't yet
Better said before you pay than after.
✅ A good fit if
- You have more than 50–100 SKUs and they actually move
- A fast-selling item has run out unexpectedly before
- Stocktaking takes more than a day
- Stock lives in several places and the numbers don't match
- You deal with expiry dates or damage that surfaces late
❌ Not needed yet if
- You have 10–20 items and can see everything at a glance
- Stock barely moves — one delivery a quarter
- You work to order and have no real warehouse
- Records are already automated and alerts genuinely configured
We start small
